When using Xtendis, you work on documents that are stored within the system. To access these documents you have to log in to Xtendis first.
Figure: The log in screen for logging in to Xtendis.
When done working with Xtendis, it is advised to log out.
This article describes the process of logging in and logging out of Xtendis.
Note: This process may differ when using Single Sign-On (SSO). When using SSO, a central login account is used and the log in process takes place automatically. Creating and changing the password is then done through the system in which this account is managed. Check with your system administrator for details.
Accessing Xtendis
Xtendis is made available from a central location and accessed by opening a link (URL) in a compatible Web browser. This link is provided by your system administrator. No installation steps are necessary.
Example: https://demo-7.xtendis.nl/
When accessing the link, the log in page appears on which you can log in to access the system (see the image above).
Creating a password
Note: This is only required when logging in using an Xtendis username and password, not when a central login such as Single Sign-On (SSO) is used.
To log in for the first time, you first have to set up your password. If you have forgotten your password, a new password needs to be set up.
How this is done is described in Managing passwords in Xtendis 7.
Logging in
Whether you want to work with the documents in Xtendis as a regular user, or want to manage the system as a system manager, the first step is to log in to Xtendis.
Do this by entering your user name and password on the log in screen, and subsequently clicking Log in.
Tip: Click Remember me to let Xtendis remember the password the next time you open Xtendis in the same Web browser. This stays active for 30 days after which it needs to be enabled again.
Once logged in, the Dashboard appears from where you can start working on the files in the system.
System managers can access the functional management section for managing various parts of the system.
Logging in using multi-factor authentication (MFA)
When multi-factor authentication is enabled for the Xtendis environment that you are logging into, you will be asked to generate and enter a unique code.
This is done by scanning a QR code on the log in page using an app such as the Google Authenticator app. This app has to be installed on your smartphone. Such apps are free to use, no account is required to use it.
Note: In these steps, the Google Authenticator app is used. The steps may differ when using another app, but the principle is the same. The Google Authenticator app can be downloaded through the following links:
|
Step 1. Make sure that the Google Authenticator app is installed on your smartphone.
Step 2. Log in to Xtendis in the regular way by entering your user name and password and clicking Log in.
A screen appears showing a QR code and a field for entering a code.
Step 3. Open the Google Authenticator app on your phone and tap the plus (+) sign in the bottom right corner.
Step 4. From the menu that appears, tap Scan a QR code.
Step 5. Scan the QR code using the camera of your phone.
A unique code is generated and displayed in the app.
Note: This code is updated regularly and is therefore different each time you log in.
Step 6. Enter the code in the screen in Xtendis and click Validate.
You will now be logged in.
Logging out
When done working in Xtendis, it is advised to log out of the system.
Note: When Xtendis is not used for a certain period of time (default 20 minutes), you will be automatically logged out. A notification is first shown to give you the opportunity to cancel this process and to keep being logged in.
To log out of Xtendis, click the Log out icon in the bottom left corner of the screen (circled in red in the images below), either on the Dashboard or in the toolbar:
As soon as you are logged out, the Log in screen appears again.
