Known issues
The following known issues exist in this release of Assets:
- Localization API does not return default messages used in the client. The localization API does not return default messages from the client. However, it still returns field labels and custom messages. If your customization relies on a message key from Assets, add the key and expected value as a custom message.
- Copying components from archived Digital articles does not work with specific Web browsers. Copying an article component from an archived Digital article using Studio only works when using Google Chrome or Mozilla Firefox, it does not work with Apple Safari or Microsoft Edge.
- Previewing PDFs does not work in Google Chrome version 88. Assets runs its previews in a sandbox to prevent malicious code from being run in the Web browser. With Chrome 88, Google no longer allows PDFs to be shown in a sandbox environment and blocks the request to the server.
One way to make the PDF preview work again is to disable Assets’ sandbox mechanism. We do not recommend this though as it poses a security risk. Another way is to use a different Web browser. The preferred way is to install a Chrome extension that allows to safely preview a PDF.
- Renaming a file requires both Edit Metadata and Rename permissions instead of only Rename permissions.
- 'Search' is shown in the Web browser tab title of the Shared Links page instead of the subject.

Assets 6.100
Assets version: 6.100.1.442
Assets Agent version: 1.0.35.60
Release date: 18 July 2023
New features
The following features have been added in this release of Assets:
- Linking the upload buttons to an external upload client when a different upload logic is needed than the default upload logic. One of the ways of uploading files is by uploading them to a folder using the Upload files button. Users are then presented with an upload screen through which files are uploaded based on a default business logic.
When a specific logic is needed for uploading files — such as requiring metadata based upon specific criteria (file type, location, or other metadata values), or a logic based on specific metadata value validation — the Upload button and the Upload and link button can now be redirected to an external upload client that offers that logic.
It is the responsibility of the integrator to implement and host such an upload client; a sample is not provided by WoodWing.
The following options have been added to configure the behavior:
- customUploadURL. The URL to the external upload client.
- customUploadTarget. The target in which to open the URL set in the customUploadURL option. The default value is to open the page in a new browser tab.
When this feature is configured, the following change in behavior occurs:
- When the Upload files button or the Upload and link button is clicked or the keyboard shortcut for it is pressed, users are directed to the external upload client. The default upload screen is bypassed.
- Uploading files using drag-and-drop or using the Browse button is disabled.
For details, see Adding a custom upload workflow to Assets .

Changes
The following changes have been made in this release of Assets:
- Column headers in a Metadata report now use the field name instead of the technical name. When creating a Metadata report by using Assets, the field name is now used as the column header instead of the technical name. This makes the column headers more readable.
Example: 'Directory' instead of 'folderPath', 'File name' instead of 'filename', and so on.
Note: This change only applies to generating the report by using Assets; the report generated by using the API still uses the technical name as the column header.
- URLs added to a multi-value field are now detected and displayed below the field as hyperlinks. In Assets 6.93, a feature was introduced in which URLs that were added to a multi-line field (such as a Description field) were detected and displayed below the field as hyperlinks. This feature now also works when adding a URL to a multi-value field such as the Tags field.

LVS-17316 Entries in the Tags field of the Metadata panel are lost when entered in quickly.
LVS-17330 When renaming a file when uploading it, the confirmation notification shows the original file name.
LVS-17332 Add support for clickable hyperlinks in multi-value metadata fields.
LVS-17344 When entering the same URL twice separated by some text in a multi-line or multi-value metadata field, the URL is shown twice as a clickable link.

New features

Changes
The following changes have been made in this release of Assets:
- URLs in the Metadata panel now appear as hyperlinks. Metadata fields that provide context or important information such as a description, source, or copyright information, often include a URL. Because these URLs are not clickable, it can be cumbersome to access this information. To improve this, URLs that are part of a metadata field of type multi-line in the Metadata panel are now detected and displayed below the field as hyperlinks.
Clicking a hyperlink opens it in a new browser tab. Changing a displayed hyperlink is done by editing the URL in the field. URLs need to have a protocol (HTTP or HTTPS) followed by '://' to be detected.
Note: Only the syntax of the URL is checked, not if it links to an existing web address.
- Localization: French translations of 'uploading' have been changed to 'envoyer'. To better match the real-world use of the French translation of 'uploading', all references (such as 'télécharger') have been changed to 'envoyer'.

Changes
The following changes have been made in this release of Assets:
- When Assets Agent connects to Assets Server, a trusted URL needs to be specified. When Assets Agent connects to Assets Server, it is important that the URL that is used is that of a trusted server.
To make sure of this, the name and URL of the server now need to be specified. This can be done in the following ways:
- One or more trusted URLs can be configured in a configuration file on the user's system. This task is typically performed by the system administrator. When Assets Agent tries to connect to Assets Server, the file is verified and if the URL is present in the file the connection is automatically established.
The name of the file is:
woodwingAssetsServerURLConfig.json
This file is stored in the following location:
Windows: ~/AppData/Local/WoodWing/Elvis/
macOS: /Library/Application Support/WoodWing/Elvis/
- A trusted URL can be configured through the Assets Agent preferences. This task can also be performed by the user. Only one URL can be configured this way. The settings are accessed by right-clicking the Assets Agent icon in the notification area of Windows or in the menu on macOS, and choosing Configure Assets Server... from the menu that appears.
The configuration is stored on the user's system in the following file:
woodwingAssetsServerURLConfig.json
This file is stored in the following location:
Windows: ~/AppData/Local/WoodWing/Elvis/
macOS: /Library/Application Support/WoodWing/Elvis/
When Assets Agent tries to connect to Assets Server, the file is verified and if the URL is present in the file the connection is automatically established.
- The user is asked to manually enter the name and URL of the instance of Assets Server to connect to. This scenario occurs when no trusted server instances have been configured (see methods 1 and 2), or when the URL that is connected to is not part of those that have been set up.
For more information, see:

Changes
The following changes have been made in this release of Assets:
- Super users can now be allowed to perform an Abort check out action on layouts. When a user checks out a layout for editing in InDesign by using the 'Open in InDesign' command in Assets, the layout can only be made available again in Assets by closing it in InDesign by the same user. This presents problems when the layout is needed by other users but the user who checked out the layout forgets to check in the layout, or that user is absent.
To make the layout available again, users with the role of super user can now be allowed to perform an Abort check out action on the layout from within Assets. This can be done by setting the following option to true in the cluster-config.properties.txt file of Assets Server:
allowSuperusersToAbortCheckoutLayouts=true
When set, the Abort Check-out command in the context menu of the checked out file becomes available for these users.
- Studio Server integration: The Pin Dossiers dialog now shows the Brand and Issue names. The Pin Dossiers dialog now shows the names of the Brand and the Issue that the Dossier is part of. This better helps identifying Dossiers that have the same name but are part of different Brands and/or Issues.

Assets 6.79.1
Assets version: 6.79.1.371
Assets Agent version: 1.0.30.51
Release date: 29 March 2022
New features
The following has been added in this release of Assets:
- Assets Agent: support for Apple M1. Assets Agent can now also be run on Apple systems with an M1 chip.
Changes
The following changes have been made in this release of Assets:
- Search Presets have been replaced by Bookmarks. Bookmarks have replaced Search Presets as the way to save often used searches. Bookmarks can be created directly in Assets and often used Bookmarks can be pinned.
Any of the Bookmarks created by users can be shared between other users by system administrators. Such Bookmarks can be recognized by the users icon next to their name in the Bookmark menu.
Bookmarks appear in Assets in the same place as Search Presets. In the Management Console, the Search Presets tab of a user group has been replaced by a Bookmarks tab.
For information about creating Bookmarks, see Searching for files using Assets.
For information about sharing Bookmarks, see Sharing Bookmarks in Assets .
Note about upgrading: Bookmarks replace the Search Preset feature, but existing Search Presets are not removed from the system. When upgrading to Assets Server 6.79 and higher, Search Presets are available as Bookmarks and are still shared with the same user groups as before the upgrade. Important to know is that the multi-folder selection that was available for Search Presets is not supported for Bookmarks. To keep it working the same, the Search Preset folder selection is rewritten to a query which returns all items of the previously selected folders. |

Assets 6.77.1
Assets version: 6.77.1.364
Assets Agent 1.0.29.50
Release date: 25 January 2022
New features
The following has been added in this release of Assets:
- Controlling when uploaded files should be available. By default, files that are manually uploaded are immediately available to other users when:
- File data is uploaded and metadata has been extracted
- The metadata is complete*
* Only when metadata is required to be added to one or more fields; this is controlled by the option requiredMetadataHandling=strict).
This means that even before the user who is uploading the files has clicked the Finish button (or the process automatically completes by means of the Auto Finish feature), files can already be available to other users to work on.
In some scenarios though, files need to be kept hidden from other users until the user who uploads them is absolutely sure that all files should actually be made part of the system and/or that the metadata is set correctly. This prevents other users from using incorrect files or files with incorrect data.
This can now be controlled through the following option in the cluster-config.properties.txt file:
hideFilesUntilUploadSessionComplete
By setting it to true, uploaded files are only available when the Finish button is clicked, or Auto finish is used.
For more information, see Controlling when uploaded files should be available to users in Assets .
Changes
The following changes have been made in this release of Assets:
- Changes to downloading and previewing files in Shared Linksand Upload Requests. To improve the flexibility of sharing files and controlling the downloading of shared files, various changes have been made.
The following has changed for controlling the previewing of files when creating or editing a link or request:
- When selecting the Download Original option, the Preview option is not automatically selected anymore. Instead, both options can now be used independently.
The following has changed for downloading files in a Shared Link:
- When multiple versions for downloading files exist, clicking the Download button now shows a list of all these options for the user to choose from (similar to manually opening that list by clicking its icon next to the Download button). Previously, the version in the highest quality available for that user was automatically downloaded for that user.
- When only one option for downloading files exist, the Download button does not contain an icon anymore for showing the list of download options.

LVS-15579 Deleted shared Collections cause faulty Shared Links.
LVS-16097 Folder browser: Folder is not shown as a suggested folder when it is part of a Rule containing wildcards.

Changes
The following changes have been made in this release of Assets:
- Metadata: auto-complete speed reduced. When entering a value in a metadata field which has an auto-complete behavior, the results now appear with a slight delay or only when the user stops typing. This reduces the number of search requests that are sent to the server and thereby improves the performance of the system.
- Searching: changes in the behavior of the Found Folders list. When a search term is entered in the Search box, a list of folders that match the search terms are shown. The conditions of when folders are shown in that Found Folders list has been changed to reduce the impact on the system. This has been done in the following ways:
- The list of found folders can now be prevented from appearing by setting the following property to false in the Management Console > Server configuration > Cluster properties:
folderSuggestionsEnabled=false
- The behavior of the list of found folders has been changed to reduce the number of results:
- For the first 3 terms entered, the folders appear in the list when the terms are present in the folder name in any order.
- For 4 or more terms entered, the folders only appear in the list when the order of the terms is the same as the order in the folder name.
Example: Consider a folder with the name one two three four five. The following table shows the results when searching for that folder by using specific search terms:
|

LVS-15663 Full screen preview: layouts are not scaled to match smaller screen or web browser sizes.

Changes
The following changes have been made in this release of Assets:
- Shared Links: configuring the default expiration time by number of days. Files that are stored in Assets can be shared with others for a variety of purposes by creating a Shared Link. Unless the user sets a custom expiration date, this link expires after a certain time period. In previous versions, this time period was defined in number of months. Now, it can be defined in number of days to give finer control over the expiration period.
To make this work, the following options have been renamed:
For Assets:
authKeyDefaultExpireMonths is now named authKeyDefaultExpireDays
For the Brand Portal:
authKeyExpireMonthsBrandPortal is now named authKeyExpireDaysBrandPortal
For more information about configuring these options, see:
- Configuring the default expiration date for Shared Links created in Assets

Assets 6.62.1
Assets version: 6.62.1.315
Assets Agent 1.0.23.43
Release date: 9 March 2021
New features
The following has been added in this release of Assets:
- Assets: Displaying often-used metadata fields as 'Essentials' at the top of the Metadata panel. Assets Server comes with over 400 metadata fields which can be extended even further by creating custom metadata fields. Although metadata fields are organized in groups and are displayed as such in the Metadata panel of Assets, it can be quite time consuming for users to find the field they want to edit.
Users typically make use of only a small number of specific fields during their daily work. To make these often used fields more easily available to users, metadata fields can now be made part of the 'Essentials' group. By default this group is empty and thereby hidden, but when one or more fields are made part of this group it is displayed at the top of the Metadata panel for easy access.
Metadata fields can be added to the Essentials group by making them part of the field group named Essentials. This is done in the same way as adding fields to any other group by configuring the custom-assetinfo.xml file. For more information, see Changing the look and feel of Assets.
- Brand portal: Changing the default expiration time for Shared Links. Files that are stored in Assets can be shared with others for a variety of purposes by creating a Shared Link. Unless the user sets a custom expiration date, this link expires after 3 months.
This default expiration time can now be changed through the following option in the cluster properties of Assets Server:
authKeyExpireMonthsBrandPortal
For more information, see Configuring the default expiration date for Shared Links created in the Assets Brand portal.
Changes
The following change has been made in this release of Assets:
- Single sign-on: The language configured in the SSO setup is now used as the default language. When a user has a supported language configured in the SSO setup, this language is now used as the default language in Assets or the Brand portal.
This only applies when the user has not explicitly chosen a language during sign-in (or has cleaned the local storage in which this selection is stored).
This change enhances the user experience by configuring the applications in the preferred language before using English as the default language when no set language is found.

LVS-15558 Make it easier to place essential fields at the top of the Metadata panel.
SPA-2280 Brand portal: Make the expiration time for Shared Links configurable.

Changes
The following changes have been made in this release of Assets:
- Opening files for editing: Files that are opened for editing are automatically opened in their native application. To prevent long waiting times, a limit exists for the number of files that are automatically opened. When that limit is reached, no files are opened and instead these files need to be opened manually. This limit has been increased from 9 files to 30 files.
- Modifying or translating the metadata tooltips. When users of Assets add metadata fields to the Metadata panel, text shown in a tooltip provides detailed information about the field.
Figure: Detailed information about a metadata field can be viewed in a tooltip.
The text of these tooltips can now be modified or translated. This is done by adding the changes to the language file through the Server > Configuration page in the Management Console. For this purpose, the following messages are available, one for each part of the tooltip:
- webClient.metadata.configurationDialog.exampleValue. Holds the text 'Example value:'. This text is used for all tooltips and therefore only needs to be changed or translated once.
- field_label.[field name]. Holds the display name of the field.
- field_description.[field name]. Holds the text of the description.
- field_examples.[field name]. Holds the examples.
For more detailed information about updating the text of these tooltips, see Managing languages in Assets Server.

Release date: 3 November 2020
New features
No features have been added in this release of Assets.
Changes
The following changes have been made in this release of Assets.
- Documentation URLs. Users of Assets can access documentation and provide feedback via various links such as the 'Help' and 'Send us feedback' options in the Avatar menu. The configuration of these URLs has changed and no longer starts with 'elvis'.
Example: feedbackUrl= instead of elvisFeedbackUrl=.
Note: Starting a URL with 'elvis' still works, but is deprecated. We advice to change over to the new configuration. (When manually removing 'elvis' from an existing URL, also make sure to change the first character of the remaining name to lower case.)
For more information about configuring these URLs, see Changing the look and feel of Assets.
- Documentation: The default link to the documentation has been updated to point towards the articles aimed at end users. This way, end users can quickly access the documentation about using Assets, while articles aimed at system administrators or developers stay out of view.
This URL is configured in the following option in the cluster-config.properties.txt file:
generalDocumentationUrl=https://helpcenter.woodwing.com/hc/en-us/sections/360010688432
For information about configuring this link, see Changing the look and feel of Assets.
- HTML previews in Google Chrome. The previews of certain file types are generated in HTML format and loaded into the client within an iFrame. Because of increased security requirements in Google Chrome, such previews can appear distorted when viewing them in this browser. This distortion is caused by the background that cannot be loaded in because the authentication cookie does not have the required flags set ('Secure' and 'SameSite=None'). To resolve this, the flags can be enabled on the authentication cookie by setting the following option in the cluster-conf.properties.txt file:
session.cookie.secure=enabled
Note: Setting this option makes it impossible to connect to a web client over an HTTP connection that is not secure.

- Wildcard search. Use the wildcard * (asterisk) at the beginning and / or end of the search term:
- eco* will find all values with names beginning with eco (economy but not reconstruction).
- *eco* will find all values with names containing eco, but not starting or ending with eco (reconstruction but not economy).
- *eco will find all values with names ending with eco (zydeco but not economy).
