Using Assets requires a license. The following licenses are available:
- Content Manager license. Provides full access to Assets. Aimed at power users and system administrators.
- Content Consumer license. Gives access to search, download, and share files. Aimed at regular users.
- Portal license. Similar to Content Consumer license, but accessing the files is done through a more basic application (the 'Portal'). Multiple portals can be set up, each with its own branding.
- API license. Makes it possible to connect to Assets from an external application through the Assets API.
- Auto tagging license. Automatically tags images through artificial intelligence (AI). During this process, the content of the image is analyzed and relevant keywords are added to a metadata field.
Each license is described in more detail in the sections below.
Adding licenses
If you already have a license and want to add additional licenses, follow the instructions in Adding additional licenses to Assets 10.
Content Manager license
This license gives access to all features and is aimed at the following types of users:
- Power users who need to be able to upload files and manage folders, Collections, metadata, contents of portals, and so on.
- System administrators who need to set up and manage the Assets environment.
Note: The person who signs up for an Assets account is automatically assigned the role of system administrator. Only system administrators will have access to the Management Console for managing users, permissions and other settings. This means that when purchasing Assets, at least one Content Manager license needs to be obtained.
The Content Manager license is a named license, meaning that every user needs a separate license and uses their own e-mail and password combination to log in.
Content Consumer license
This license allows users to search, download, and share files. It is aimed at the following types of users:
- Internal staff who need access to your archive for in-house production and reference.
- External users such as resellers or press, to whom you want to provide a limited set of materials in a branded environment (using portals).
The Content Consumer is a named license, meaning that every user needs a separate license and uses their own e-mail and password combination to log in. This has the advantage that you can determine the permissions and access rules on an individual level.
Portal license
The Portal license is similar to the Content Consumer license and allows Portal visitors to search, download, and share files. It is aimed at the following types of users:
- Internal staff who need access to your archive for in-house production and reference.
- External users such as resellers or press, to whom you want to provide a limited set of materials in a branded environment (a public or password-protected Portal)
The goal and the interface of the Content Consumers and the Portal visitors are therefore very similar, but the Portals have the following advantages:
- You can create multiple Portals, and each Portal can be accessed on a unique subdomain (xxxxx.swivle.cloud), has unique branding, and unique content.
- We allow multiple people to access the Portal, a separate license for every visitor is therefore not needed.
- The Portals can be made publicly available or can be password-protected.
- Every Portal visitor sees the same content for each Portal (unlike the Content Consumers).
API license
The Assets REST API can be used to customize and integrate external applications with Assets.
Auto tagging license
Files that are uploaded to Assets can be automatically tagged through artificial intelligence (AI). During this process, the content of the image is analyzed and relevant keywords are added to a metadata field.
This adds extra context to the image which increases the chance that the image appears in the search results when users search on those keywords.
Having this process done automatically during the upload can save an enormous amount of time compared to having to do this manually. Another advantage over a manual process is that manually adding keywords can introduce spelling or grammar mistakes or other inconsistencies.
