An important first step when working with Assets is adding files to the system, such as images from a photo shoot, a document that you have created, or an entire folder that you want to manage in Assets.
Files can be added by doing one of the following:
- Clicking the Upload files button in the top right corner and browsing to the files that you want to upload.
- Dragging one or more files or folders from your system and dropping it onto a folder or Collection in the Folder browser.
- Opening the folder or Collection in which you want to add the files and dragging a file or folder from your system onto the content pane.
Supported file types
Any file type can be uploaded to Assets. However, Assets only creates thumbnails and previews for commonly used types.
Additionally, the system extracts and embeds metadata within the files.
For a full overview of the types of files that are supported by Assets, see File types supported by Assets 10.
The upload process
After using any of the above methods, the files are automatically uploaded in the background.
While this is in progress, you can continue working with Assets.
Monitoring the upload
The upload progress can be monitored via the Uploads panel and in the search results pane.
In the search results pane, an indication is given for each uploaded file, such as a green check mark for a successful upload. Thumbnails are also generated, where applicable.
The Uploads panel is automatically opened when an upload starts and can also be accessed any time by clicking its icon in the top right corner above the Upload files button. It shows each upload action and information such as a progress bar, the time or date when the upload took place, the number of files that are being uploaded or that were uploaded, the location where they were uploaded to, and more.
Canceling the upload
While an upload action is in progress, it can be canceled by clicking the Cancel button for that upload action in the Uploads panel.
After the upload
Once the files have been uploaded, they can be quickly accessed by doing one of the following in the Uploads panel:
- Clicking the name of the uploaded file or the total number of files
- Clicking the name of the folder in which the files have been uploaded
The files are then shown in the search results pane from where they can be worked on further, for example by opening the Metadata panel to add metadata (see below).
When the references in the Uploads panel are not needed anymore, the content of the Uploads panel can be cleared by doing one of the following:
- Hovering the mouse pointer over the check mark for an upload action and clicking the trash can icon that appears.
- Clicking 'Remove' for a failed upload action.
- Clicking 'Clear completed ' at the bottom of the panel.
About metadata
Once a file has been added to Assets, it needs to be found again. Searching is done by using the metadata of the file: information that describes specific aspects of a file and its content. It tells you:
- Who created the file
- What type of file it is
- Where the file is stored
- When the file was created
- ... and much more
Metadata is extracted from the file itself, can be added using auto-tagging through artificial intelligence (AI), and can also be added manually. Consider adding tags, a status, copyright information, and so on. For more information about editing metadata, see Working with metadata in Assets 10.
