A short reference to the product-specific vocabulary used in this manual. Cross-references point to the page that introduces or covers each term in detail.
| Term | Definition |
|---|---|
| Action | A component type that triggers something useful: navigates to a folder, runs a query, stamps metadata, opens a URL, or invokes a widget. One of three component types alongside Field and Notification. See 02b |
| Always on | An option on Action components that keeps the button enabled even when no asset is selected. Use for navigation; leave off for actions that operate on the selection. See 05b |
| App selector | The screen the Configurator shows after sign-in if your account has access to more than one configuration. Lets you pick which configuration to work on. See 03a |
| Applies to | The visibility checklist on every component, listing the asset kinds for which the component appears. See 02c and 06a |
| Asset | A single file or Collection in WoodWing Assets |
| Asset kind | One of the eleven Assets-defined categories — image, video, audio, document, presentation, generic, pdf, text, XML, archive, container — plus the special No asset option. See 02c |
| Asset link | A Field type whose value is treated as an Assets ID and rendered as a clickable link to that asset. See 05a |
| Audience | The Assets user groups a tab is shown to, set on the tab via the groupMapping option. See 08 |
| Component | The unit of functionality on a panel — a Field, an Action, or a Notification. The lowest level of the four-level structure. See 02a and 02b |
| Config Manager | A separate WoodWing-internal service that stores Workflow Assistant and Workflow Assistant Configurator configurations and provisions customer access. Used only by WoodWing in-house staff — never by customers or partner admins. See the support manual for in-house procedures |
| Configurator | Short form for the Workflow Assistant Configurator |
| Configuration | The complete saved state of a Workflow Assistant — tabs, sections, rows, components, conditions, and external data sources. Stored centrally and accessed via the Configurator |
| Container | An asset kind for Collections in Assets — groupings of assets rather than files |
| Disable condition | A Lucene query that, when true, makes a Field non-editable or a button greyed out. See 06b |
| Disabled | A boolean override that makes a Field permanently non-editable, regardless of any condition. See 06b |
| Disabled message | The text shown on a disabled button (Disabled message) or as an overlay on a disabled Field (Disabled overlay message). Always pair with a disable condition. See 06b
|
| Display condition | A Lucene query on a Notification that decides when the Notification appears. See 05c |
| Display name | The user-visible label on a Field, Action, or section. Independent of the technical Field name |
| Entity type | The Configurator’s internal name for the three top-level component categories: Field, Action, Notification. See 02b |
| External data source | A named connection to data outside Assets that External-data-source Fields can draw from. See 07 |
| Field | A component type that reads or edits a single metadata value on the selected asset or collection. One of three component types. See 02b and 05a |
| Field name | The technical name of an Assets metadata field that a Configurator Field binds to. Case-sensitive. Always picked from the autocomplete |
| Formatted (field type) | A read-only Field type that displays system-managed numeric values (file size, duration) in a human-readable form. See 05a |
| groupMapping | The configuration option that lists the Assets user groups a tab is shown to. Also called Audience. See 08 |
| Hint | The tooltip text shown when the user hovers a Field. Set on every Field to explain its meaning, format, or business rule |
| Keep pattern | A regex that filters what the user can type in a Field. Anything not matching is dropped silently. See 06c and 12b |
| Liqe | The Lucene-compatible parser used by the Workflow Assistant. Everything in this manual works in both Lucene and Liqe. See 12a |
| Lucene | The query language used in every condition slot in the Configurator — Disable, Required, Display conditions, and Query button queries. See 02d and 12a |
| Metadata stamper | An Action type that updates one or more metadata fields on every selected asset in a single click. See 05b |
| Notification | A component type that shows a contextual message — Info, Warning, Error, or Blank — when a Lucene display condition is met. One of three component types. See 02b and 05c |
| No asset | A pseudo-asset-kind on the visibility checklist representing the case where the user has selected nothing. See 02c |
| Pattern | A regex that defines a valid final value for a Field. Failure shows the Pattern message. See 06c and 12b |

| Publish | The operation that promotes the current saved configuration to the live version end users see. See 09 |
| Query button | An Action of type Query — runs a Lucene query against Assets and shows the results. Often uses substitution like {fieldName}. See 05b
|
| Required | A boolean override that makes a Field mandatory before publish, regardless of any condition. See 06c |
| Required condition | A Lucene query that, when true, makes a Field mandatory before publish. See 06c |
| Required message | The error text shown when a required Field is empty at publish. Always set when you require a Field. See 06c |
| Required role | The Assets user role that gates access to the Workflow Assistant panel — ROLE_CUSTOM_EVOLVED_METADATA_PLUGIN_IC. Without this role, a user does not see the panel at all. See 01 and 08
|
| Revision | A previously-published version of a configuration, kept for rollback. See 09 |
| Rollback | Restoring a previously-published configuration. Performed by WoodWing support via the Config Manager. See 09 and the support manual |
