Info: This article is work in progress and subject to change.
The Workflow Assistant Configurator is a separate, full-screen admin tool with its own sign-in. You use it to design panels for the customer or partner organisation you administer. This article covers everything you need to know to log in, choose the right configuration, recover from a lost password, and switch between organisations.
The Workflow Assistant Configurator sign-in screen, showing a username field, a password field, a “Forgot password?” link, and a Sign in button
Before you sign in
| You will need | Notes |
|---|---|
| A Configurator account | Provisioned by WoodWing during your organisation’s onboarding. Your account is tied to your email address |
| The sign-in URL | Will be configured as an Action plugin within your Assets |
| A modern browser | Recent Chrome, Firefox, Safari, or Edge. The Configurator does not support Internet Explorer |
If you do not yet have a Configurator account, contact your WoodWing representative. Accounts are created on the WoodWing side; this manual covers what to do once yours exists.
Note: The Configurator account is separate from your Assets account. Even though the Workflow Assistant runs inside Assets, the Configurator that designs panels is a distinct service with its own credentials. The same email address may be used for both — they remain separate accounts.
Sign in for the first time
Step 1. Select and open the Configurator plugin in Assets in your browser.
Step 2. Enter the email address your account was provisioned for and the password you were given.
Step 3. Click Sign in.
Step 4. If this is your first sign-in, you will be prompted to Set a new password. Pick something memorable and at least the length your organisation’s password policy requires. Click Save when you are done.
Note: Your session uses a short-lived token that the Configurator refreshes for you in the background as long as the browser tab stays open. If you close the tab, sign out, or leave the tab idle long enough for the refresh to expire, you will be returned to the sign-in screen the next time you act. Save your work before stepping away for long stretches.
What to do if you have forgotten your password
The sign-in screen has a Forgot password? link. Use it to reset.
Step 1. Click Forgot password? on the sign-in screen.
Step 2. Enter the email address your Configurator account is registered to. Click Send reset email.
Step 3. Open the email and click the reset link inside. The link is single-use and expires after a short window — if you wait too long, request another.
Step 4. On the Set new password screen, enter your new password twice and click Save.
Step 5. Return to the sign-in screen and sign in with the new password.
Note: The reset email comes from a WoodWing-managed address. If you do not see it within a few minutes, check spam or junk folders before requesting another. Repeatedly requesting resets in quick succession can rate-limit the address; wait a few minutes between attempts.
Logging out
Use the sign-out menu in the header to end your session deliberately. Closing the browser tab also ends the session, but signing out is the cleanest way — it clears the tokens stored in your browser immediately rather than letting them expire.
| Action | What it does to your session |
|---|---|
| Sign out from the menu | Clears all tokens immediately. The next visit returns you to the sign-in screen |
| Close the browser tab | The tokens remain in your browser until they expire. If you reopen the Configurator URL before they expire, you may be returned straight to the app selector without signing in again |
| Browser session ends (closing the browser, restart) | Tokens are cleared. The next visit returns you to the sign-in screen |
Common sign-in problems and what to do
| Symptom | Likely cause | What to do |
|---|---|---|
| “Invalid username or password” | Typo, or your password has been reset | Try again carefully, then use Forgot password? if you are sure of the email |
| “Account not found” | The email address is not registered | Double-check the email; if correct, contact your WoodWing representative |
| Stuck on a loading state after sign-in | Browser session storage is corrupted, or your network is slow | Refresh the tab. If that does not help, sign out (or close all Configurator tabs) and try again |
| Reset email never arrives | Spam folder, slow mail server, or wrong email on the account | Wait two minutes, then request another. If still missing, contact your WoodWing representative |
| You see no configurations on the app selector | Your account exists but has no configurations granted | This is a provisioning issue — contact your WoodWing representative |
For anything that is not in the table, your WoodWing or partner support representative is the right next stop. Sign-in problems are almost always provisioning issues that the support team can resolve directly.
