Capabilities in Elvis 4 Server

Capabilities define if a user can use the Elvis client application and which functions the user is allowed to use. In combination with permissions based on folder or metadata queries (rules) you can grant very specific access to content in Elvis. For instance, a user with the Import Capability can only import content into folders where they have create permissions.

If a Capability is not assigned to a user group, the interface will not show the corresponding buttons and menu items, removing clutter from the interface. This can be useful to simplify the user interface for people that will not use specific functionality.

Capabilities can be managed in the "Manage Permissions" tab. Typically, most Capabilities, rules and field permissions are configured at group level.

By default, users have no Capabilities. Adding Capabilities adds features for a group or user.

Super user

ROLE_SUPERUSER

Disables all security for the user, access is granted to all content and all functionality. Usually only granted to the general ‘admin’ user. A super user always consumes a Pro user license. When all Pro user licenses are in use and a super user logs in, another session will be expired to allow the super user to login (and manage sessions if needed).

User license

These determine what kind of user license will be consumed while the user logs in.

Basic Basic user license: use for asset consumers who only need to search and download. Several features will not be available, even if granted in permissions. See the price list for details about which features are available and which are not.
Standard Standard user license: use for asset contributors who mainly need to import and edit assets. Several features will not be available, even if granted in permissions. See the price list for details about which features are available and which are not.

API

Info: This feature requires Elvis DAM 4.4.4 or higher.

API user license: use for API-based integration. API users could have multiple sessions (but they take up one seat), an API user has the same access as a Pro user, but API users are not allowed to use the desktop, InDesign, web client and other provided asset managers.

Pro Pro user license: use for asset managers who need all functionality.
Unspecified Typically user license is only set on group level, so leave it unspecified for individual users. That way users will inherit the type user license from their group. When a user is in multiple groups with different user license settings, the most feature-rich license will be used. When no user license type is set for a user or one of their groups, the least feature-rich license will be used (Basic if available and otherwise Standard if available or otherwise Pro).

ROLE_AIR_CLIENT

Allows the user to access Elvis using the desktop client.

Allows the user to access Elvis using the InDesign client.

Drive client

ROLE_DRIVE_CLIENT

Note: With the discontinuation of support for Adobe Drive, the Elvis Drive has been made obsolete.

Allows the user to access Elvis using the Elvis Connector for Adobe Drive. When assigned to a user that also has the "Checkout" feature, that feature will be ignored to prevent confusion between checkouts on the Elvis Drive and checkouts made using the desktop client.

Content Station client

ROLE_CONTENT_STATION_CLIENT

Info: This feature requires Elvis DAM 4.0.0 or higher.

Allows the user to access Elvis inside Content Station.

Web client

ROLE_WEB_CLIENT

Info: This feature requires Elvis DAM 4.2.0 or higher.

Allows the user to access Elvis using the web client at http://yourserver/web

Note: The current iPad client behaves like a Desktop client. In a future update it will get its own client type.

Checkout

ROLE_CHECKOUT

Activates check out and check in using the desktop client. The user can only check out assets for which they have "EDIT" permissions. This desktop client checkout mechanism works separate from the Elvis Drive. This feature is ignored if the user also has client type "Drive client" to prevent confusion between checkouts on the Elvis Drive and checkouts made using the desktop client.

Download

ROLE_DOWNLOAD

Activates the download functionalities in the desktop client: download original, download preview and custom download preview via presets only. The user can only download assets for which they have appropriate permissions, either "USE ORIGINAL" or "VIEW PREVIEW".

Download As

ROLE_DOWNLOAD_AS

Info: This feature requires Elvis DAM 4.2.0 or higher.

Activates the custom download preview option allowing the user to specify a custom format which can be saved and shared with other user groups. Also makes the organize preview presets tab visible. The user can only download custom previews for assets for which they have "VIEW PREVIEW" permission.

Share

ROLE_EMAIL

(Deprecated since Elvis 4.6.6 where it was replaced by ROLE_SHARE, ROLE_SHARE_UPLOAD, ROLE_SHARE_APPROVE)

Activates sharing functionality in the desktop client. This will allow a user to create temporary share links for download, upload or approval of assets.

Share

ROLE_SHARE

(Configurable since Elvis 4.6.6)

Activates sharing functionality in the desktop client. This will allow the user to create temporary share links for download assets.

Approve

ROLE_SHARE_APPROVE

(Configurable since Elvis 4.6.6)

Allows the user to create share links for approval of assets. Requires share capability.

Export to Enterprise

ROLE_EXPORT_SCE

Allows the user to export content to Enterprise. The user can only export assets for which they have "USE ORIGINAL" permissions.

Export to YouTube

ROLE_EXPORT_YOUTUBE

Allows the user to export movies to YouTube. The user can only export assets for which they have "USE ORIGINAL" permissions.

Image manipulation

ROLE_IMAGE_MANIPULATION

Allows the user to rotate and flip images. The user can only manipulate images for which they have "EDIT" permissions.

Import

ROLE_IMPORT

Activates the import functionality in the desktop client. The user can only import assets into folders for which they have "CREATE" permissions.

Regenerate thumbnail

ROLE_REGENERATE_THUMBNAIL

Allows the user to regenerate thumbnails and previews.

User zone

ROLE_USER_ZONE

Grants the user access to a private user folder where they have full access. By default all users with ROLE_AIR_CLIENT receive this role, unless allAirClientUsersHaveUserZone=false is set in the server config

Versions

ROLE_VERSIONS

Allows users to access the versions panel in the desktop client. To promote a version, edit permissions is required. To delete a version, delete permission is required. Note that this role is not needed to create a version. Version creation happens automatically when a file is checked in.

Taxonomy

ROLE_TAXONOMY

Allows the user to use the taxonomy panel to easily add metadata from configured taxonomies.

 

Saved searches

ROLE_SAVED_SEARCHES

(Configurable since Elvis 4.2)

Allows users to create and manage saved searches in the desktop client.

Favorites

ROLE_FAVORITES

(Configurable since Elvis 4.2)

Allows users to create and manage their favorites.

Collections

ROLE_COLLECTIONS

(Configurable since Elvis 4.2)

Allows users to create and manage their collections.

Desktop client plugins

ROLE_ACTION_PLUGINS

(Configurable since Elvis 4.2)

Allows users to use desktop client plugins.

ROLE_EXPORT_WEB

(Deprecated)

Enables the user to use the export to a web CMS, the user will still need use original permission for the content

Note: Just by having access to functionality, the user can only use the functions if they have enough permissions on the content. For example a user with ROLE_DOWNLOAD Capability can only download a file when they have "use original" permission for the selected asset.
