Before Smart Connection can be used, a license needs to be activated for it.
Activating Smart Connection can be done in the following ways:
- Activating seat-based licenses through the activation wizard in Smart Connection
- Activating concurrent licenses through the License Status page in Enterprise Server
Seat-based licenses versus concurrent licenses
At the highest level, a distinction is made between seat-based licenses and concurrent licenses:
- Seat-based: In this model, a license is purchased for each 'seat' (individual user) that is going to use the software. Each user can access the software at any time.
Example: You would use this model if you know exactly how many users will make use of the software. For a team of 50 users for example, you would purchase exactly 50 licenses.
- Concurrent. In this model, licenses are shared between a group of users. As long as not all licenses are in use, additional users can continue to log in. When the maximum number of users is reached, any subsequent user who wants to log in will have to wait until another user logs out, at which time the license is made available for other users to use.
Example: You would use this model if it is unlikely that all users will access the system at the same time. For a team of 60 users you could for instance get a concurrent license for only 50 users. When 50 users are using the software, user 51 is denied access when logging in. When one of the 50 users logs out, that license becomes available and can be taken by another user.
Smart Connection can either be licensed seat-based or based per concurrent user.
- Seat-based licenses are activated client-side through an activation wizard or through an activation file for activation without user interaction.
- Concurrent licenses are managed through the License Status page in Enterprise Server.
Activating seat-based licenses through the activation wizard in Smart Connection
Step 1. Display the About WoodWing Plug-ins screen by doing one of the following:
- MacOS: Choose InDesign > About WoodWing Plug-ins or InCopy > About WoodWing Plug-ins
- Windows: Choose Help > About WoodWing Plug-ins
The About WoodWing Plug-ins screen appears.
Troubleshooting: The About WoodWing dialog does not appear.
Step 2. Click the Smart Connection icon. The Activate button becomes available.
Step 3. Click Activate. A screen appears informing you that Smart Connection needs to be activated.
From here, you have the option to activate over the Internet or offline:


If the machine on which Smart Connection is installed is shielded from Internet access by a password-protected proxy server, the WWActivate.xml file can be used to provide the credentials for that server.
Step 1. (Optional, only if no WWActivate.xml file exists yet). Create a text file named WWActivate.xml in the following location:
- MacOS: Library/Application Support/WoodWing
- Wndows: c:\ProgramData\WoodWing
Step 2. Add the following content to the file:

Step 3. Use the following values:
- address: The IP number of the proxy server.
- port: The port number that the proxy server uses instead of the default port 80.
- user: The user name of a user that has access rights for Internet access through the proxy.
- password: The password of the user mentioned above.
Step 4. Save the file.
Step 4. Click Next. You are asked to enter your serial number.
Step 5. Enter the received serial number and click Next. You are asked to enter your details.
Step 6. At a minimum, enter the required details (fields marked in bold) and click Next. The options for entering the Proxy server appear.
Step 7. Do one of the following:
- When no proxy server is used, click Next.
- When a proxy server is used, fill out the details and click Next.
The screen for choosing the users for which Smart Connection should be activated appears.
Step 8. Choose the user to activate Smart Connection for and click Next.
Step 9. (Optional, only when activating Smart Connection for all users). Enter the system administrator's password and click OK.
Smart Connection is activated and the result is shown.

Step 4. Select the check box for the option I don't have access to the Internet... and click Next. A screen appears showing the serial number for the installed version of InDesign or InCopy.
Step 5. Send in the following details by e-mail:
- Your WoodWing serial number
- Your Adobe serial number
- Contact details (including name, company name, e-mail, and address)
- Platform used (Mac OS or Windows)
Step 6. Click Cancel to terminate the activation process for now. You are returned to the About WoodWing screen.
Step 7. Click OK to close the screen.
Within 2 business days you will receive a file named WWActivate.xml.
Step 8. Place this in the following location:
- MacOS: Library/Application Support/WoodWing
- Windows: c:\ProgramData\WoodWing
Step 9. Restart InDesign or InCopy; the product is automatically activated.
Activating concurrent licenses through the License Status page in Enterprise Server
Step 1. Access the License Status page.

In Enterprise Server, choose Licensing in the Maintenance menu on the left side of the screen or on the Home page.
Step 2. Click the link Add Additional Client Licenses.
The License Status page appears.
Step 3. Activate your license by choosing one of the following methods:

Step 3a. Click the Add additional client licenses link.
The Activate page appears.
Note: To continue with the automated process, a Web browser with Internet access is required. A browser connection status is displayed at the bottom of the page, indicating whether or not your current browser can be used for this process. If your browser cannot be used, check your Internet connection, such as your proxy settings, (software) firewalls, router configuration, and so on. Your browser needs to support Javascript, but you will see an error message in cases when Javascript support has been switched off.
The activated server license will be stored server-side, but the client system which runs the browser will actually make the connection to the WoodWing Activation server via Internet. This makes it possible for your server to be located in a subnetwork without internet-out access.
Step 3b. Click Next.
The Serial Number page appears.
Step 3c. From the Product list, choose the version of Smart Connection. The main Smart Connection version number is shown in brackets.
Example: Smart Connection for Adobe CC 2019: Smart Connection for InDesign-InCopy (14).
Step 3d. Enter the serial number and number of concurrent licenses (this makes it possible to divide your licenses among several application servers).
Step 3e. (Optional) If you are unsure of the number of concurrent licenses available for this serial number, click the Check button.
Step 3f. Select the check box to register Enterprise Server.
Note: Only registered copies of Enterprise are entitled to upgrades.
Step 3g. Select the check box The Actual Server Time is... to confirm the time on the application server.
Step 3h. Click Next.
The Contact Information page appears.
Step 3j. Enter all required fields.
Step 3i. Click Next.
The License Status page appears. If all has gone well, a message displays that the license has been activated successfully.
Step 3j. Return to the License Status page by clicking License Status.

Note: When activating a license offline, it takes 2 working days to process your request.
Offline activation is a 2-step process:
- Sending the activation request by email
- Processing the received activation
Sending the activation request by email
Step 3a. Click the Add additional client licenses link.
The Activate page appears.
Step 3c. Select the check box I don’t have access to the Internet or I prefer activating by e-mail.
Step 3d. Click Next.
The Offline Activation page appears.
Step 3e. Send the following details by e-mail to authorize [at] woodwing.com:
- Product name and version
- Per product: the serial number
- Per product: the number of concurrent users/connections for this installation.
- The installation code (as provided on screen)
Step 3f. Click Cancel to terminate the process for now and wait for WoodWing to send you an activation code.
Processing the received activation
Step 3g. Repeat Steps 3a to 3d.
Step 3h. Enter the received serial number and activation code.
Step 3i. Click Next.
The License Status page appears. If all has gone well, a message displays that the license has installed successfully.
Step 3j. Return to the License Status page by clicking License Status.
